Our Patient Administration team is the back office and administrative support for our current and prospective patients and we’re looking for someone to help lead, scale, and innovate on our team. This team sits within our larger Patient Advocacy organization and works closely with our patient facing Patient Support team. We’re looking for someone who understands the importance of behind the scenes work, has experience scaling a growing team, knows how to optimize processes for efficiency, and is excited about the opportunity to be a hands-on leader. You’ll have the chance to improve our current processes for workflows supporting lab collection, eligibility checking, and other workflows critical to enrolling and treating our patients. In addition to process improvement, we are looking for a strong people leader to help us uplevel our training and Quality Assurance programs, continue to define the roles and responsibilities of our Associates and support their continued development.

Responsibilities

  • Manage day to day performance of a team of full and part time Patient Administration Associates executing on manual processes
  • Create and lead training and resource development for a growing team and create a robust quality assurance program
  • Manage systems like Salesforce, ZenDesk, Health Gorilla, and an Electronic Medical Records system
  • Scale processes and create efficiencies, automations, and with an eye towards cost savings
  • Work cross functionally to ensure we’re able to pivot and support the needs of the company

90 Day Plan

Within your first 90 days at Virta, we expect you will do the following:

  • Learn about the Virta treatment and product to be a subject matter expert for our Patients
  • Become familiar with internal policies, systems, and procedures to assist Patient Administration team with escalations and questions
  • Build relationships within the Patient Administration and Patient Advocacy teams and the larger Virta organization
  • Understand workflow gaps and inefficiencies that exist today and use operational background to identify improvement areas. Begin to execute on optimizations and workflow updates as able during the first 90 days to continue to scale the team
  • Assess current work and priorities of the team and determine order of priority and eliminate non-essential or non-value added tasks
  • Own Administration team and optimize the structure and purpose of the team to best serve Virta’s priorities and needs

Must-Haves

  • 3-5 years of experience managing a team executing on backend support
  • Experience and comfort using technology, digital tools, and systems (preferably EMRs, JIRA, SalesForce, and/or Google Suite)
  • Experience leading virtual trainings and creating digital resources for a remote team
  • Track record of helping coach individuals to success meeting established goals and metrics
  • Experience working cross functionally and advocating for team’s resources and needs
  • Proven track record of optimizing and scaling processes, escalating risks, and partnering with product teams to prioritize improvements thoughtfully
  • Flexibility with scheduling to support the needs of the team if requested

As part of your duties at Virta, you may come in contact with sensitive patient information that is governed by HIPAA. Throughout your career at Virta, you will be expected to follow Virta's security and privacy procedures to ensure our patients' information remains strictly confidential. Security and privacy training will be provided.

Note: Starting pay will be based on a number of factors and commensurate with qualifications & experience. Virta has a location based compensation structure; there may be a different range for candidates in other locations.
